SUPERVISOR JOB DESCRIPTIONS

CAPTAIN
(a) Must uphold and promote the spirit of sportsmanship and fair play whilst representing the Gruyere District Cricket Club.
(b) Must attend training sessions and take his/her place on the Match Committee.
(c) Shall be responsible for the complete control of his/her team on and off the field and may call on his/her Vice-Captain at any time for assistance.
(d) Shall, along with his/her Vice-Captain, select the winner of the fielding trophy at the completion of the season.
(e) Shall arrange the provision of afternoon teas from all players on ‘home’ days and cordial etc., for drinks breaks.
(f) Shall be responsible for the collection of weekly ball money and fine money throughout the season, but may delegate this duty.
(g) Shall arrange for the Club equipment to be at the games prior to the commencement of play each day and shall generally be responsible for its upkeep.
(h) Shall be responsible for the scorebook and keeping it updated every game.
(i) Shall be responsible for the phoning of scores and the sending of team sheets in accordance with YVCA rules.
(j) Shall be familiar with all rules relative to team play as laid down by the YVCA in accordance with the rule book supplied.
(k) Shall be responsible for furnishing a match report including main performances etc. for publishing in the Club newsletter,
such report to be submitted following the completion of each game.
(l) Shall be responsible for encouraging his/her team members to support functions and special efforts arranged by the Club.
(m) Shall be familiar with the Club by-laws, a copy of which shall be made available by the Committee of Management.

VICE-CAPTAIN
(a) Must attend training sessions.
(b) Shall carry out duties as delegated by the Captain.


COMMITTEE JOB DESCRIPTIONS

PRESIDENT
The President is the principle leader of the Gruyere District Cricket Club and has overall responsibility for the administration.
The President overseas the overall committee agenda (consistent with the views of members), helps the committee prioritise its goals and then keeps the committee on track by working within that overall framework. At the operational level, the major function of the President is to facilitate effective committee meetings.
Responsible To:
The President is elected by the Gruyere District Cricket Club members and responsible for representing the views of the members.
Responsibilities and Duties:
Manage committee and/or executive meetings or delegate this role to another committee member
Manage the annual general meeting
Represent the club/group at local, regional, state and national levels
Assign YVCA delegates
Liase with local shire or delegate role to a committee member
Coordinate Grants
Act as a facilitator for club/group activities
Ensure the planning and budgeting for the future is carried out in accordance with the wishes of the members.
Knowledge and Skills Required:
• Communicate effectively
• Is well organised and can delegate tasks
• Is well informed of all organisation activities
• Is aware of the future directions and plans of members
• Has a good working knowledge of the constitution, rules and the duties of all office holders and subcommittees
• Is a supportive leader for all organisations members.
Estimated Time Commitment Required & Period of Appointment:
The estimated time commitment required as the President of Gruyere District Cricket Club is 6-10 hours per week.
The President is ideally appointed for a minimum 2 year term and maintains a committee position as the new President is elected by the members.

VICE-PRESIDENT
The Vice-President has the role of assisting the President of the Gruyere District Cricket Club.
The Vice-President assists the President in the overseeing of the overall committee agenda (consistent with the views of members), and assists in the prioritizing of committee goals.
Responsible To:
The Treasurer is directly responsible to the President of Gruyere District Cricket Club and members of the Committee.
Responsibilities and Duties:
Assist in the Managing of the committee
Assists in Managing the annual general meeting
Represent the club/group at local, regional, state and national levels
Act as a facilitator for club/group activities
Take on other tasks as assigned by the President
Knowledge and Skills Required:
• Communicate effectively
• Is well organised and can delegate tasks
• Is well informed of all organisation activities
• Is aware of the future directions and plans of members
• Has a good working knowledge of the constitution, rules and the duties of all office holders and subcommittees

TREASURER
The Treasurer is the chief financial management officer for the Gruyere District Cricket Club

Responsible To:
The Treasurer is directly responsible to the President of Gruyere District Cricket Club and members of the Committee.
Responsibilities and Duties:
• Prepare a budget and monitor it carefully
• Keep the club’s books up-to-date
• Keep a proper record of all payments and monies received
• Make sure financial reports are available and understood at all committee meetings
• Show evidence that money received is banked and documentation provided for all money paid out
• Ensure that information for an audit is prepared each year
• Arrange the audit
• Give Treasurer’s report at regular meetings and when required
• Produce an annual financial report
• Send out accounts
• Pay the bills
Knowledge and Skills Required:
• Well organised
• Able to allocate regular time periods to maintain the books
• Able to keep good records
• Able to work in a logical orderly manner
Estimated Time Commitment Required:
The estimated time commitment required as the Treasurer of Gruyere District Cricket Club is 6– 10 hours per week.

SECRETARY
The Secretary is the chief administration officer of the Gruyere District Cricket Club.
This person provides the coordinating link between members, the management committee and the GDCC.
Responsible To:
The secretary is directly responsible to the President of Gruyere District Cricket Club and the members of the club.
Responsibilities and Duties:
• Prepare the agenda for club/group meetings in consultation with the Chairperson
• Make arrangements including venue, date, times and hospitality for club meetings
• Send adequate notice of the meetings
• Collect and collate reports from office bearers
• Call for and receive nominations for committees and other positions for the club/group AGM
• Take the minutes of meetings
• Write up the minutes as soon as possible after the meeting
• Read, reply and file correspondence promptly
• Collate and arrange for the printing of the annual report
• Maintain registers of members’ names and addresses, life members and sponsors
• Maintain files of legal documents such as constitutions, leases and titles
• Act as the public officer of your club/group liaising with members of the public, affiliated bodies and government agencies.
• With Associations – process transfer applications; enter teams in competitions; represent your club/group at Association meetings; obtain Association sanction for club/group events; communicate information between Association and club/group members, such as event deadlines.

The estimated time commitment required as the Secretary of Gruyere District Cricket Club is 6-10 hours per week.

GENERAL COMMITTEE MEMBER
The General Committee Member is the backbone of the Gruyere District Cricket Club.
This person provides the coordinating link between members, the management committee and the GDCC.
Responsible To:
The General Committee Member is derectly responsible to the President of the Gruyere District Cricket Club.
Responsibilities and Duties:
• To attend committee meetings. If unable to, then advise another committee member give your
apology to the Chairman/President.
• To effectively liaise with other members of the club.
• To offer support or help to other committee members.
• To attend all applicable association meetings
• To attend all club meetings and/or forward a written report.
• Undertake tasks assigned to them by the President.
• To represent the club and liase with the YVCA as delegate if assigned

• Can maintain confidentiality on relevant matters
• Can carry out duties and tasks in a timely manner
Estimated Time Commitment Required:
The estimated time commitment required as the General Committee Member of Gruyere District Cricket Club is 6-10 hours per week.

SPONSORSHIP COORDINATOR

The  Sponsorship Coordinator is  responsible  for  raising money  through  the contract of sponsorship  packages  by  targeting  various companies, organizations and associations.
The Coordinator creates sponsorship packages according to the club’s specifications.
The Coordinator presents regular updates to the management committee.
Duties and Responsibilities.
Develop (with input from committee members) a well rounded package of items (herein called “sponsorship package” or just “package”) that will appeal to the community, businesses and organizations (herein called” sponsors”).
Research and develop a list of potential sponsors.
Utilize electronic and written correspondence and face-to-face meetings as tools in order to present the sponsorship packages to the sponsors.
Develop  and  maintain  relationships  with  existing  and  potential  sponsors.
Keep precise records of conversations with all sponsors.
Update the club’s database as required.
Invoice sponsors once sponsorship fees are due.
Coordinate various services for sponsors as agreed to in the sponsorship package and agreement.
Assist in preparing promotional material to advertise sales opportunities for the sponsors as agreed in the sponsorship package.
Ensure website is up-to-date regarding sponsor’s details.
Fulfill any other requirements for the sponsors as agreed to in the package.
Maintain knowledge of sponsorship deadlines.
Delegate administrative functions to assistants if required.
Liaise with Treasurer to account for all sponsor’s monies.
Liaise with Social coordinator to host a “Sponsor’s Day” event.
Professionally represent GDCC at all times.
